Know where the hours go before the project budget does
Consulting, marketing, engineering and design firms sell time and expertise. When a project runs over, the first question is where the hours went. Insights shows how your team actually spends the workday, by person, by team and by application, so you can staff projects with real numbers.
| Team | Under goal | FTE gap | $ / month |
|---|---|---|---|
| Customer service | 4 | 0.9 | $3,900 |
| Accounting | 3 | 0.6 | $2,600 |
| Sales | 2 | 0.3 | $1,300 |
Selling time is hard when you can't see it
Professional services firms told us the same things again and again.
Utilization you can't see
Timesheets show what people remember at the end of the week. They rarely show the hour lost to email, rework or waiting on a client.
Uneven workloads
Two people stretched thin and one with open capacity looks the same from the partner's office until someone burns out.
Hybrid teams
Staff split time between home, the office and client sites. Walking the floor no longer tells you how the week is going.
Margin pressure
Fixed-fee work rewards efficiency. If you can't measure where time goes, you can't price the next engagement well.
Tool sprawl
Project tools, design software, shared drives, chat. It's hard to know which tools carry the work and which just add noise.
Client data on every laptop
Your team handles client files all day. Large copies to USB drives or file-sharing sites deserve a second look.
See who has room for the next project
Set a productive-hours goal for each team. The workforce utilization report shows who is under goal, how much untapped capacity you have in full-time equivalents, and what that gap costs at your average salary.
- Untapped capacity in FTE, by team
- Monthly and annual cost of the gap, from the salary you enter
- Shortfall bands so you can spot the outliers quickly
| Team | Under goal | FTE gap | $ / month |
|---|---|---|---|
| Customer service | 4 | 0.9 | $3,900 |
| Accounting | 3 | 0.6 | $2,600 |
| Sales | 2 | 0.3 | $1,300 |
Find out which tools carry the work
Application and website usage reports rank the tools your team uses by total time, with heatmaps by person and hour. Mark your design, CAD or analysis software as productive and group it, so a busy day of real work shows up as one.
- Pre-categorized apps and sites you can adjust per team or per person
- Activity groups like "Design software" or "Client communication"
- Website usage by site name only, never full URLs
Spot the week a project starts slipping
Productivity trends show stacked daily bars and an hourly timeline for each person. A drop in focused time on a key account shows up while you can still fix it.
- Daily productive, neutral and unproductive time
- Hourly timeline by employee
- CSV export for your own analysis
| Employee | Productive | Neutral | Unproductive | Work time |
|---|---|---|---|---|
| A. Rivera | 6h 12m | 1h 05m | 0h 21m | 8h 02m |
| J. Chen | 5h 48m | 1h 22m | 0h 34m | 7h 55m |
| M. Patel | 4h 57m | 1h 40m | 0h 52m | 7h 41m |
Your clients trust you with their files. We take that seriously.
CyberWall is a security-first managed IT provider. Security is our number one priority. Insights can raise an alarm when someone copies files to a USB drive or spends time on file-sharing sites. Pair it with CyberWall Shield for 24x7 threat detection and response, Microsoft 365 sign-in monitoring and backup in the same console.
- USB file copy and file-sharing site alarms
- Alerts to email, Microsoft Teams or Slack
- MFA on every login and separate data for each company
Your people are professionals. Insights treats them that way.
Insights measures work patterns. It doesn't read the work.
No keystrokes, no content
Insights records whether someone is active, which app is in front and which site is open. It never records what anyone types or reads.
Screenshots off by default
Screenshots are an optional add-on. CyberWall turns them on only at your request, and they delete themselves after 7, 14 or 30 days.
Notice on every computer
The agent can show a monitoring notice, so your team knows what is measured and why.
Questions from professional services firms
Does Insights replace our timesheets or PSA tool?
No. Insights doesn't track time to clients or projects. It shows how the workday is spent across applications and websites, which helps you check timesheets and staffing against reality.
Can we measure people who work at client sites?
Yes, if they use a company Windows computer. The agent sends activity summaries whenever the computer has an internet connection, at the office, at home or on site.
Our designers and engineers live in one or two apps. Will that skew the numbers?
It will show those apps at the top, which is accurate. Mark them productive and put them in an activity group so you can see focused work at a glance.
How do we set different goals for different teams?
Create a team, assign its work schedule and productive-hours goal, and filter reports by that team. A creative team and an admin team don't need the same goal.
What does it cost?
$4 per active user per month. You are billed only for employees who were active in the last 30 days. The 14-day free trial includes everything.
