Run a smoother front office and billing team
Medical and dental practices depend on the people behind the desk: scheduling, insurance verification, billing, collections and records requests. Insights shows how admin and billing staff spend the workday on their Windows computers. It does not monitor clinical care, and it never reads patient records.
| Employee | Schedule | First activity | Last activity | Status |
|---|---|---|---|---|
| A. Rivera | 8:00–5:00 | 7:56 am | 5:04 pm | On time |
| J. Chen | 8:00–5:00 | 8:21 am | 5:02 pm | Late start |
| M. Patel | 9:00–6:00 | 8:58 am | 4:31 pm | Early end |
| S. Okafor | 8:00–5:00 | 7:49 am | 5:15 pm | On time |

The office side of a practice is a business of its own
Front desk coverage
Late starts and long gaps at check-in mean patients waiting and phones going to voicemail.
Claims and collections
Billing staff split time between the practice management system, payer portals and denials work. Hard to see where the backlog comes from.
Payer portal time
Eligibility checks and prior authorizations happen on a long list of payer websites. That time adds up quietly.
Remote billers
Many practices now have billing and coding staff working from home. You need visibility without hovering.
Small teams, big gaps
When one of four front office staff is out or behind, everyone feels it. Problems surface late.
Security and HIPAA pressure
Practices are frequent ransomware targets, and your HIPAA obligations don't pause for a busy week.
Know the front desk is staffed when the doors open
Assign each person a work schedule with start time, end time and breaks. Schedule adherence shows late starts, early ends and absences against that schedule, so you can fix coverage gaps before patients notice.
- Late start, early end and absent, by day
- Separate schedules for the front desk and the billing office
- Real-time view of who is active, idle or offline now

See how much of the day goes to claims work
Mark your practice management system, clearinghouse and payer portals as productive and group them. Application and website usage shows the time spent in each, by person and hour, without opening a single claim.
- Activity groups like "Practice management" and "Payer portals"
- Website usage by site name only
- Productive hours goal for each billing team member
Support remote billers with facts
Daily work metrics show work time, screen time and productive time for every remote biller or coder. Use the numbers to set fair expectations and to spot someone who needs help.
- Works anywhere the computer has internet
- Productivity trends by day and hour
- Idle time alarms you can tune or switch off
| Employee | Productive | Neutral | Unproductive | Work time |

Practices are targets. We built our business around protecting them.
CyberWall is a security-first managed IT provider, and security is our number one priority. Insights alarms can flag large USB file copies and file-sharing site use. For the bigger risks to a practice, pair Insights with CyberWall Shield: 24x7 threat detection and response, Microsoft 365 sign-in monitoring, and backup and recovery, in the same console.
- USB copy and file-sharing site alarms
- Shield watches for threats such as ransomware, and for risky sign-ins, around the clock
- Your HIPAA obligations remain the practice's. Insights can support your policies and documentation.
Built to stay out of patient information
Insights doesn't read content, so it doesn't read patient records, charts or messages.
No content, no keystrokes
Insights records active and idle time, the application and window in front, and website names. It never captures typing, documents, email or chat.
Screenshots off by default
Screenshots could show patient information on screen. They are off by default, and we turn them on only at your request. Most practices leave them off.
Window titles are sensitive
Some systems put a patient name in the window title. Treat Insights reports as confidential and give access only to the managers who need it.
Questions from medical and dental practices
Do you monitor doctors, hygienists or clinical staff?
Insights is designed for office, admin and billing work on Windows computers. We don't recommend it for clinical workflows, and it does not measure patient care.
Is CyberWall Insights HIPAA compliant?
We don't claim HIPAA compliance or certification for Insights. HIPAA obligations remain the practice's. Insights doesn't read documents, records or messages, and it can support your workforce and security policies. Talk with your compliance advisor about how it fits your program.
Can Insights see patient records?
No. It records which application was active and for how long, plus website names. It does not read what is on the screen or in the record. Window titles may include a patient name in some systems, which is why access to reports should be limited.
What about our shared front desk computers?
Insights attributes activity to the Windows user who is signed in. If the front desk shares one login, reports will show that login. Separate sign-ins give you per-person numbers.
Should we turn on screenshots?
For most practices, no. Screenshots can capture patient information. If you have a specific need, talk with us and your compliance advisor first.
A calmer front office starts with clear numbers.
Try Insights free for 14 days on your admin and billing computers. Screenshots stay off unless you ask.
