Keep dispatch, customer service and the back office in step

Freight doesn't wait for a slow morning. Dispatchers, customer service reps, billing and claims staff work across the TMS, carrier and customer portals, email and tracking sites, often on early or split shifts. Insights shows how those desks spend the day and when they are covered.

The challenge

The desk side of logistics runs on tight timing

Shift coverage

Early starts, late finishes and weekend coverage. A missed start on dispatch means trucks waiting.

Portal and tracking time

Load boards, carrier sites and customer portals pull people across dozens of tabs every hour.

Customer service load

Status calls and email spike when something goes wrong. It's hard to see who's carrying the load.

Back-office backlog

Billing, claims and paperwork pile up behind the urgent work until month-end exposes it.

Peak season hiring

Temporary staff help in peak season. You need to see how they're doing and stop paying when they leave.

Customer and rate data

Rate sheets and customer lists are valuable to competitors. They shouldn't leave on a thumb drive.

Coverage

Know dispatch is staffed from the first shift

Set work schedules for each shift with start, end and break times. Schedule adherence flags late starts, early ends and absences. The real-time view shows who is active, idle or offline right now.

  • Separate schedules for early, day and late shifts
  • Late start and early end flags by day
  • Live status for every desk

Where time goes

See time in the TMS, portals and email

Application and website usage shows time in your TMS, email and every carrier or customer site, by name. Group them to see how much of a dispatcher's day is planning and how much is chasing updates.

  • Activity groups like "TMS", "Carrier portals" and "Email"
  • Website names only, never full URLs
  • Heatmaps by person and hour

Exceptions

Get told when something looks off

Alarms watch for idle time during a scheduled shift, long stretches of unproductive time, after-hours activity and large USB copies. Alerts go to email, Teams or Slack, checked every five minutes.

  • Idle over 2 hours and unproductive over 1 hour presets
  • After-hours activity alarm
  • One alert per person per day per rule

FAQ

Questions from logistics and distribution companies

Our dispatchers work odd hours. Will after-hours alarms go off all night?

You choose whether to turn on the after-hours rule and how many minutes it takes to trigger. If night work is normal for your dispatch desk, leave it off or raise the threshold.

Does Insights connect to our TMS or ELD system?

No. Insights measures time spent in the TMS as an application on Windows computers. It doesn't read loads, rates or driver data.

Can we track drivers?

No. Insights runs on Windows computers. It is meant for dispatch, customer service and office staff.

We add temporary staff in peak season. How is that billed?

You pay $4 per active user per month, and only for people active in the last 30 days. When temporary staff leave, they stop counting.

Can we compare our two terminals?

Yes. Create a team for each location and filter any report by team, or export to CSV.
