Better staff utilization without touching privileged work
Paralegals, legal assistants and administrative staff keep matters moving. Insights shows how their day is spent across document management, billing, e-filing and research sites, so you can match support to attorney demand. It never reads documents, email or client communications.
| Employee | Productive | Neutral | Unproductive | Work time |
|---|---|---|---|---|
| A. Rivera | 6h 12m | 1h 05m | 0h 21m | 8h 02m |
| J. Chen | 5h 48m | 1h 22m | 0h 34m | 7h 55m |
| M. Patel | 4h 57m | 1h 40m | 0h 52m | 7h 41m |
Firms need visibility that respects privilege
Support coverage
Some attorneys get more support than others. You need to see whether paralegal time follows the work.
Utilization and realization
Staff time that never reaches a bill is a quiet cost. It's hard to manage without seeing the full day.
Research and filing time
Court e-filing sites, research databases and records requests eat hours that are easy to underestimate.
Remote legal staff
Remote paralegals and assistants are common now. Partners want confidence without micromanaging.
Privilege and confidentiality
Any tool that reads content near client matters is a non-starter. Visibility has to stop at the surface.
Matter data leaving the firm
Large file copies or personal cloud uploads near a departure are a risk to clients and the firm.
See paralegal and staff capacity by team
Create teams by practice group or by attorney. Productivity trends and daily work metrics show productive time per person, so you can move support where the work is heaviest.
- Teams by practice group or supported attorney
- Daily work time, screen time and productive time
- Over and under-utilization thresholds you set
| Employee | Productive | Neutral | Unproductive | Work time |
|---|---|---|---|---|
| A. Rivera | 6h 12m | 1h 05m | 0h 21m | 8h 02m |
| J. Chen | 5h 48m | 1h 22m | 0h 34m | 7h 55m |
| M. Patel | 4h 57m | 1h 40m | 0h 52m | 7h 41m |
Put a number on staff time that never gets billed
Enter an average salary and a productive-hours goal. The workforce utilization report shows untapped capacity in FTE and the monthly cost of the gap, by team, so hiring decisions rest on facts.
- Untapped capacity by practice group
- Monthly and annual cost of the shortfall
- Export to CSV for partner meetings
| Team | Under goal | FTE gap | $ / month |
|---|---|---|---|
| Customer service | 4 | 0.9 | $3,900 |
| Accounting | 3 | 0.6 | $2,600 |
| Sales | 2 | 0.3 | $1,300 |
Get an alert when matter files move
Alarms flag large USB file copies, file-sharing site use and job search activity. Each alert goes to email, Teams or Slack and lands in an alarm log where you can mark it reviewed or dismissed.
- USB file copy alarm
- File-sharing and job search site presets
- Severity levels and an alarm review log

Insights stays on the surface of the workday
Here is exactly what is and isn't recorded.
No content
Insights never reads documents, email, chat or anything typed. It records active and idle time, the app and window in front, and website names.
Window titles and matter names
A window title can include a document or matter name. Keep report access to a small group of managers, as you would with billing data.
Screenshots stay off
Screenshots are off by default. For most firms we recommend leaving them off because they could capture privileged material.
Questions from law firms
Can Insights see privileged documents or client email?
No. Insights doesn't read the content of documents, email or chat, and it never logs keystrokes. It records which application or website was in use and for how long.
Should we monitor attorneys?
That's your decision. Many firms start with paralegals and staff. If you include attorneys, put them in their own team with their own goal, since a lot of their work happens away from the keyboard.
Does Insights replace our time entry or billing system?
No. It doesn't record time to matters. Firms use it to see how the day was spent and compare that with time entered.
What should our monitoring policy say?
Our monitoring policy template is a good starting point, and the agent can show a notice on every computer. Check state notice requirements with your own counsel. This page is not legal advice.
Do you integrate with our document management or practice management system?
No. Those systems appear as applications in usage reports. There is no data connection.
